Terms and Conditions for participation in the Scientific Exhibition and Advertising Campaigns of the European Conference Physics of Magnetism 2026 (PM'26)
- §1. The Conference is jointly organized by the Institute of Molecular Physics of the Polish Academy of Sciences and the Faculty of Physics and Astronomy of the Adam Mickiewicz University in Poznań, hereinafter referred to as the "Organizers."
- §2. The term "Exhibitor/Advertiser" refers to any person, company, or other entity which applies for exhibition space or advertisement during the PM'26 Conference.
- §3. "Acceptance of Submission" is the document which confirms participation in the scientific exhibition or grants advertisement rights during PM'26. The Organizers reserve the right to cancel the submission within two weeks from registration. The Organizers are not obliged to provide a reason for such a rejection.
- §4. All advertising materials selected in the application form should be sent to the Conference Office (Institute of Molecular Physics, Polish Academy of Sciences, M. Smoluchowskiego 17, 60-179 Poznań, Poland, with a note PM26EXPO) by May 12th, 2026.
- §5. All charges are summarized in the registration form. Fees must be paid in Polish zloty (PLN). Please note that all prices exclude VAT and are shown using the daily euro exchange rate. The Advertiser must pay the total fee (including VAT) by March 31st, 2026. The Exhibitor must pay at least 50% of the total fee by the end of March 2026. The full amount should be transferred to the Organizers by the end of May 2026.
- §6. Upon reception of an application and prepayment of 50% of the total fee, the Organizers will issue a "Confirmation of Exhibition Space Allocation". This will serve as a legally binding contract between the Organizers and the Exhibitor.
- §7. If the Exhibitor wishes to cancel participation, a written renouncement must be submitted to the Organizers. If received before June 15th, 2026, 50% of the total fee will be reimbursed. No refund will be given for cancellations received after June 15th.
- §8. The Organizers reserve the right to cancel the contract by returning the payment within 30 days of reception of the payment. The Organizers are not obliged to specify a reason for cancellation.
- §9. The Organizers reserve the right to choose the layout of the exhibition space and the location of the Exhibitor's booth. The Organizers will provide standard stands for the exhibition (approx. 8-10 sqm). The stands will be provided with a power supply socket. Wi-Fi internet access is available throughout the University Campus. Custom-designed stands must be approved by the Organizers.
- §10. In certain unforeseen circumstances, the Organizers reserve the right to change the duration and hours of the exhibition.
- §11. The Organizers will provide security at the venue but will not accept liability for loss or damage.
- §12. The Exhibitor is obliged to comply with the Organizers' requests concerning the management of the exhibition.
- §13. The Exhibitor is responsible for all items in their exhibition space. The exhibition equipment should be sent by the Exhibitor by June 15th, 2026, to the Conference location (Adam Mickiewicz University/Faculty of Physics and Astronomy, Uniwersytetu Poznańskiego 2, 61-614 Poznań, Poland, with a note PM26EXPO), at the Exhibitor's expense and responsibility.
- §14. All persons registered by the Exhibitor using the application form are entitled to take part in all conference activities.
- §15. Issues not covered in these "Terms and Conditions" will be investigated by the Organizers.
